CultureStrategyFit Inc. is committed to upholding the confidentiality and security of our clients’ and web-site users’ personal information. We respect their right to privacy and have instituted practices that will help ensure that personal information is handled responsibly. In this privacy statement, we describe how we protect the personal information of our clients and web-site users.
Personal Information
We use the term “personal information” to describe most types of information that can be linked to an identifiable individual. Examples include names and e-mail addresses. Information on business cards (such as job title, business address, business telephone and fax numbers, and email address) is not typically considered personal information. However, in cases where our records include both personal and business contacts and we are unable to separate them, we will handle such records as personal information.
CultureStrategyFit Inc. needs to collect, use, retain and disclose personal information to provide services to our clients and web-site users. We request only the personal information necessary to provide our services and will tell the client or web-site user how we intend to use this information. To ensure privacy is protected, CultureStrategyFit Inc. is committed to honoring the following ten principles:
CultureStrategyFit Inc. has given its President the responsibility as Chief Privacy Officer for addressing concerns about how personal information is handled, or any questions about our privacy policy. These should be directed to her at privacy@culturestrategyfit.com.
To enable clients to make an informed decision about the information they provide, CultureStrategyFit. Inc. will clearly explain to them, at or before they provide the information, the reasons for collecting their personal information. If we intend to use or disclose their information in ways other than those described at the time of collection, we will ensure that they are informed and their consent obtained for the new use prior to using the information for a new purpose.
CultureStrategyFit Inc. understands that client consent is required for collecting, using, or disclosing personal information (unless the law provides otherwise). We will obtain consent when personal information is collected, used or disclosed and will attempt to communicate in a manner that can be reasonably understood.
To protect privacy, CultureStrategyFit Inc. will only collect personal information that is relevant to the purposes the client is informed of at the time of collection. By collecting information limited to these purposes, CultureStrategyFit Inc. helps protect the client from unnecessary or accidental uses of personal information.
Visitors to our web-site may have certain technical information logged from their computer’s Web browser when they visit us on the internet. This information includes their internet address, the address of the Web site they are coming from, the amount of time they spend visiting our Web site, the pages visited, the operating system and web browser software they use, and, if they link to us through a search engine, the keywords used to find our Web site. The logs do not record personal information, can be accessed only by CultureStrategyFit Inc. through its secure web hosting service and are used solely to track visits to our site and improve its content and layout.
When a person visits our Web site, they are assigned a temporary text file called a cookie through their Web browser. It is placed on their computer for programming purposes only and enhances their use of the site by providing a unique identifier as they move from page to page. The cookie is never redirected to servers outside our site.
Just as CultureStrategyFit Inc. takes steps to limit the types of information we collect from clients, we carefully regulate how we handle their personal information. We do not use their information for purposes other than those to which they have consented, or as required by law.
CultureStrategyFit Inc. offers diagnostic surveys as part of its services to clients. We respect respondee right to anonymity above all else.
Our diagnostic surveys may ask respondees to disclose their age, gender, years of service with the organization, department, level in the organization and/or location or other information or use information from our client’s HR information system. We collect and store this information in order to conduct research studies both for the specific client organization and for academic research purposes.
This information is kept strictly confidential, is used only in its aggregated form and is not used to identify individuals. Individual responses will not be revealed to any client organization or group. Organizations will be identified only with their consent.
Should CultureStrategyFit Inc. require the services of third parties to handle client information, we require them to adhere to privacy procedures that will keep personal information confidential. These third parties will be given only the information necessary for performing their information-handling services. CultureStrategyFit Inc. does not sell or trade personal information for commercial purposes.
CultureStrategyFit Inc. is committed to retaining client personal information only as long as is necessary for the purposes for which it was collected. CultureStrategyFit Inc. is also committed to deleting or destroying the records containing that information when they are no longer required; this will be done in ways that will ensure their continued privacy.
Our surveys rely exclusively on clients for its information about them. Only authorized CultureStrategyFit personnel can make changes to this information and only as directed by an authorized member of the client organization.
CultureStrategyFit Inc. uses appropriate safeguards to protect the privacy of our clients’ personal information. These safeguards are designed to prevent unauthorized access, disclosure, copying, use or modification. Records are accessible only to staff who have been given the authority to access them and only as is necessary to provide services to the client.
All CultureStrategyFit employees and contractors receive training on information security, data privacy and risk management on an annual basis. Client personal information is accessed, handled and stored only in encrypted format. Access to client and employee personal information on mobile devices is strictly prohibited. Data is erased from desktop computers, laptops and on-line storage devices when a client engagement ends.
So that clients can be confident that CultureStrategyFit Inc. is handling their personal information appropriately, CultureStrategyFit Inc. will make information about its policies and practices concerning management of personal information readily available.
If at any time a client has a question about our records containing their personal information, we will do our best to answer it. Clients have the right to be told about the kind of personal information CultureStrategyFit Inc. maintains, how it is used, and with whom it is shared. Incorrect information will be promptly corrected, or, if necessary, deleted as directed by an authorized member of the client organization.
In special circumstances, CultureStrategyFit Inc. may need to refuse or limit an access request. For example we will never disclose information that might reveal personal information about another person or client organization without permission or will reveal his or her responses to a survey or interfere with a legal investigation.
An important measure of CultureStrategyFit Inc.’s adherence to these ten privacy principles is our client’s perception of our practices and procedures.
